    Guest access, handled.

Every guest needs a way into their room. Hotelia gives each one a door code for their stay. You choose how those codes get made: set them by hand, or let Hotelia create them automatically with your smart locks.

Two ways to give guests a door code

Pick the one that fits your property.

Hotelia gives every guest a code for their room. You pick how those codes get created, based on what your property has and how hands-on you want to be. Either way, the guest gets a code for their stay and gets into their room.

    Manual PINs

You set a code for each room by hand. Best for smaller properties without smart locks, or owners who like to set codes themselves. No extra hardware, no setup, no monthly fee.

    Seam smart lock integration

Hotelia creates a fresh code for every booking and turns it off at checkout, all on its own. Best for properties with smart locks that want to stop touching codes entirely.

    The manual way

Set codes by hand. No hardware needed.

Manual PINs are the simplest way to give guests a door code. They're built for properties that don't have smart locks, or owners who just prefer to set codes themselves.

Here's how it works. In your Hotelia dashboard, under Settings, you set a code for each room. On the morning of arrival, guests complete a short pre-check-in, where they upload their ID, agree to your policies, and receive the code for their room. When they arrive, that code lets them in.

No smart locks needed. No setup. No monthly fee.

    The automated way

If you have smart locks, Hotelia can run every code for you.

This runs through Seam. Seam is a service that connects Hotelia to your smart locks. It supports August, Yale, Schlage, Salto, SmartThings, and more. Once you connect it, Hotelia can talk to your locks directly.

Here's what that gets you. Every booking gets its own code, created the morning the guest arrives. That code is unique to that one stay. When the guest checks out, the code stops working. No shared codes. No old codes left active. No guest still able to open the door three weeks after they left.

    Step 01

    Connect Seam once

In your Hotelia dashboard, under Settings, open Integrations and connect your Seam account. Seam supports August, Yale, Schlage, Salto, SmartThings, and more.

    Step 02

Match each room to its lock

This tells Hotelia which physical lock belongs to which room.

    Step 03

    You're done

From then on, every booking gets its own code with no work from you.

What happens when a guest books

A code, right when they need it.

    1. 1

      A guest books a stay

They book through your website. The reservation lands in Hotelia.

    2. 2

They complete pre-check-in on arrival morning

They upload their ID, agree to your policies, and receive their door code, all in one step.

    3. 3

They arrive and open the door

Their code works from check-in time to check-out time, then stops.

    4. 4

      They check out

The code turns off on its own. Nothing for you to clean up.

Behind the scenes, Hotelia talks to your lock in real time. Codes get created and turn off without you touching anything.

    What happens when things change

    Bookings shift. Codes keep up.

Bookings change all the time. Guests extend, cancel, or get moved to another room. Here's how Hotelia keeps door codes in sync with those changes.

    A guest extends their stay

The code stays active through the new checkout date.

    A guest cancels

    The code is removed.

You move a guest to a different room

The code follows them to the new room's lock.

    A guest never shows up

The code turns off on its own.

You never have to remember to update a lock. Hotelia does it.

What you see as the owner

    Everything sits on the reservation.

Open any reservation and you'll see that guest's current door code. There's no separate system to learn.

    • Create a new code

      If a guest loses theirs.

    • Turn off a code early

If you need to cut access before checkout.

    What guests never notice

To the guest, it's just a code.

Guests don't know whether their code was one you set by hand or one Hotelia created ten minutes before they walked up. They don't need to. They get a code, they open their door, and their stay begins.

    That's the point.
