Hotel Task Automation, Now Built into Hotelia

Guest requests, upsells, and turnovers become tasks on their own, right where your team already looks.

Automated task queue in Hotelia showing guest requests, upsells, and housekeeping turnovers

We just shipped automated tasks. When something needs to happen for a guest, Hotelia creates the task on its own and puts it where your team already looks. No sticky notes, no reading back through booking notes, no one holding it all in their head or forgetting.

Here is what that means on a normal day.

A guest leaves a note, and it becomes a task

Someone books and asks for a high floor, an early arrival, a quiet room away from the elevator. That note used to live in a field someone had to notice. Now it lands in your front desk queue as a task, ready to assign. Nothing to spot, nothing to miss.

A guest adds to their stay, and it becomes a task

When a guest buys an upsell, a welcome toast, a spa slot, or airport pickup, it becomes a task the moment they book it. The task shows up on the arrival day, so your team sees it while they are getting ready for that guest. They bought a little something extra, and your team is set up to deliver it ahead of their arrival.

A guest checks out, and the room gets cleaned

Every departure creates a housekeeping task on the morning of checkout. Your housekeepers open the board, and the day's departures are already there, no one building the list by hand or on another tab.

A guest stays a while, and the room stays fresh

For stays longer than a night, your front desk can schedule mid-stay cleaning right at check-in. Pick the day, and the task is created for it. Fresh towels without a paper schedule and without anyone chasing it.

You can see the full breakdown on our task automation page.

    Why we built it

Independent hotels run lean. That's the point, and it's the strength. But lean means the front desk is also the person reading notes, catching upsells, and remembering the 2pm departure, all at once, usually when it is busiest. The work does not get missed because people are careless. It gets missed because there is a lot of it and one head can only hold so much. We know this because, as operators, we lived these moments ourselves.

So we moved the remembering into the platform. A guest asks, a guest buys, a guest checks out, and the task appears in the queue on its own. Your team stops being the system that has to catch everything and starts being the team that just does the work.

    Why this matters

A missed request is a guest who was forgotten. A late clean is a room that is not ready. Those small misses are what decide whether someone books you again and what they say about you when they get home.

Automated tasks are how a small team delivers the kind of service people expect from a much bigger one. Not by hiring more people. By making sure nothing slips.

Automated tasks are live now, included in Hotelia at no extra cost, like everything else we build. If you are running an independent hotel and you want your team to stop holding it all in their heads, this is ready today.

Hotelia is 100% commission-free, allows you to manage operational workflows seamlessly from any device, anywhere, and can get fully set up and ready to take direct bookings on day one.
